Document type
Definition: Type of publication. A distinction is made between independent titles (monographs or collective works) and non-independent literature (articles in collective works or journals) - and documents that have so far not been published elsewhere.
Indications of use: * mandatory element that is selected upon request of the form.

License
Definition: License of the publication. Besides German copyright regulations, Creative Commons licenses can be assigned to grant comprehensive rights of usage for a document.
Indications of use: Please select a license when requesting the registration form. The default setting is German copyright.

Title of publication
Definition: Title as can be found in the document.
Indications of use: * mandatory element
Entry:
- Please type in title exactly as is.
- Separation title and additional title by “full stop blank space”
- Separation additional title and further additional titles (if applicable) by blank space following a separator
- capital letters at beginning
- No full stop at the end

Author
Definition: Name of author
Indications of use: it is mandatory to fill in one of the following fields: "name of author", "copyright holder" or "other person / corporation".

Syntax: Name, first name

Copyright holder
Definition: Copyright holders are organisations responsible for the publication of the document. Organisations are known as corporations in librarian terms and they are in general intellectually responsible if a work is written by several authors or if no individual authors are listed in the document.
Indications of use: It is mandatory to fill in "Name of author", "Copyright holder" or "other persons / corporations".
Entry: write full name of corporation, do not abbreviate
Syntax: Name of corporation
Example: Bund-Länder-Kommission für Bildungsplanung und Forschungsförderung
Other persons/ corporations resp. institution
Definition: Additional person(s) and organisation(s) to the ones listed in the fields for author, copyright holder. Such persons have fundamentally contributed to the intellectual content of a resource, which is secondary to the contribution made by authors and copyright holders (e.g. editor, translator, and illustrator).
Indications of use: It is mandatory to fill in "Name of author", "Copyright holder" or "other persons / corporations".
Entry:
- Person names in inverted style "surname, first name".
- Exact name of corporation, no abbreviations.
- Function (e.g. ed., transl.) in square brackets [ ] following name.
- Separation of several persons with semicolon.

Keywords (German)
Definition: Description of core elements of the content of a document by means of descriptive terms.
Indications of use: * mandatory element
Entry:
- Please use keywords from the provided index. A window will open to search the index. Found keywords can be simply added to the list by pressing a button.
- Use semicolon and blank space between keywords. The TypeAhead functionality will then be active (suggestion of keywords while typing).
- Person names in inverted style "surname, first name".
- There is no limit to the number of keywords. Please use at least five to ten keywords.

Pedagogical sub-disciplines
Definition: Allocation to a pedagogical sub-discipline refers to the content aspect that is the most relevant to the document. This enables an automatic allocation to categories and thus the presentation of sorted lists (browsing). The thematic scope of sub-disciplines is principally oriented toward the divisions of the German Educational Research Association (GERA, DGfE). The selection of a second pedagogical sub-discipline is possible.

- If no abstract exists, you can enter the introduction or a similar paragraph.
- Please specify if the abstract is taken from the original (Orig.).
Brief summary of content in another language
Definition: Another abstract can be entered here, in English or in German (for English language documents).
Indications of use: Adding a description in English is optional, but desired. Please select the language of an abstract via drop-down menu.
Year of publication
Definition: Year of publication of a document.

Definition: source of publication.

State of review
Definition: To make the quality process pertaining to a document transparent.

Entry: Marking of available option
Example:
- Publishing house: All publications by a publishing house, i.e. monographs, contributions to collective works or journal articles.
- Peer-review: Publications that have been subjected to a peer-review process, read by an independent expert prior to publication.
- Qualification thesis: The category comprehends doctoral and habilitation theses. Please choose the category „review-state unknown” for master, diploma or bachelor theses.
- Review-state unknown: Applies to all publications with unknown level of quality. This pertains to first-time publications that have not been submitted to a publishing house or master, diploma or bachelor theses.
Access
Definition: It is possible to assign an Open Access state to your document and a respective pdf file will be made available online. Alternatively, you can define an embargoed access for the document, in which case the full text will only be openly accessible after the embargo date whilst the metadata are accessible as soon as the publication has been accepted.
